Zooming with GB: Tech Tips for Joining Town Board Meetings via Zoom

Some town boards are using ZOOM technology for public meetings and hearings. We want to share some tips, tutorials and the handy graphic below to improve your experience with this technology. The more familiar you are with Zoom’s features and settings, the more efficient our remote meetings will be.

To better manage these video meetings and conduct their business, some boards have opted to use the “webinar” ZOOM feature to hold their meetings. This means that, while everyone attending can participate fully, video is only enabled for board/committee members. This feature reduces distraction and background noise.

  • First, download the ZOOM app to your phone, tablet, desktop or laptop. You don’t need an account to join a meeting but if you set one up you can host your own ZOOM gathering with friends, colleagues or family.
  • Once you are “in,” take a look around to learn how it works.

  • Key skills for meeting guests: how to MUTE and UNMUTE your own audio (and your video, if available at the meeting) and how to RAISE YOUR HAND.
  • Meeting guests are expected to MUTE their own microphones to reduce backgroundnoise, and to UNMUTE in order to speak. When finished speaking, MUTE.
  • If you wish speak, use the “RAISE YOUR HAND” feature on ZOOM, which will alert the meeting host. Make sure you are UNMUTED in order to speak.
